Set up documents

It's easy to get set up - we gather most of the documentation ourselves!


Under the codes of practice set out by the RICS and ARM, your previous agent should provide what we need to get your management active.

However, this does not always happen, so we have a protocol to follow to overcome any hurdle put in our way.

DOCUMENTS WE NEED WHERE THEY COME FROM
A signed management agreement We prepare you sign.
Details of insurance company and letter of consent to change insurer (competitively) at renewal We prepare letter, you sign. You tell us the last known insurer and we track down the policy.
Copy of utility bills for landlord's supply Can’t find lost bill? Your accounts will show who you have been paying, we will trace it from there.
Copy of last 3 years service charge accounts Accounts unavailable? We will buy copies from Companies House for you. Never prepared accounts? Ask for a quote - we can build an audit trail from bank statements and prepare them for you.
Copy of current service charge estimate Should have been sent to all leaseholders. We can write requesting a copy. No estimate? Let us propose one from a review of post accounts and your future intentions.
Copy of pre-paid expenditure (bills paid last year for works/services carried out this year). We will seek from post accountants.
Schedule of leaseholders' names and addresses Seek from previous agent or as a last resort can be purchased from the Land Registry.
Statement of each leaseholder's account to act as opening balances Seek from the previous agent, trace payments reviewed since last accounts on bank statements to build opening balances.
Sets of keys to the common parts We would ask a leaseholder to create a copy for us.
Details of any contractors that you would want to keep on A leaseholder in the block can pass these on to us.
Ground rent collection agreements (if applicable) We take your instructions.
Copy of the lease We prepare, you sign.
Full name and address of freeholder Usually a leaseholder provides, else we can buy copies from Land Registry for £25 each.
Details of service charge percentages for each lessee Should be shown on your last ground rent demand, else we can do a Land Registry search for £10.


Collection of these documents will assist a smooth transition to Ringley block management.

Over the years I have probably encountered most block management issues and both personally and through my teams have strategically managed solutions.
